About Face: Veterans Against the War, a National grassroots membership-based anti-war organization made up of post-9/11 military Veterans, is seeking a full-time Operations Manager to help oversee finances, fundraising, administrative management and logistics. We are seeking a consistent, organized and adaptable candidate who believes in the mission of the organization and is passionate about developing strong systems and processes. This hire will initially be for a temporary employee for a 6-month term. There is the strong possibility of extending or making this role permanent after the initial 6-month period at the discretion of the Board and Co-Directors.

Position Details

Location is flexible (remote).

About Face staff pay rates are standardized based on responsibility level (Director, Manager, Coordinator) and the pay rate for this Manager level role is $27/hour salary based on a 40-hour work week ($56,160 annually). Additional benefits include unlimited paid time off with a required minimum of 21 days/year (policy details here), a $300 monthly stipend for mental health care, a $300 monthly stipend for health insurance (plus an additional $150 each per month for up to two dependents), a 401K plan with up to 6% employer match, and $250 annual stipend for professional development.

The Operations Manager will work directly with Co-Directors and the Board of Directors for quarterly goal-setting and progress updates. 

Qualifications

  • Experience in organizational operations, including: financial, compliance and personnel management
  • Experience leading fundraising and development for nonprofits, including: grant writing, direct mail, major donor programs, sustaining donor programs, and online crowdfunding
  • Experience in financial management, including: budgeting, basic bookkeeping, and tax filings/compliance
  • Ability to work as part of a team, as well as independently
  • Commitment to racial, gender, migrant, economic, queer + trans, climate, and disability justice; Black liberation, Indigenous sovereignty, Palestinian solidarity, and anti-militarism
  • Past experience working in multiracial community and commitment to anti-oppression practices and accountability 

Required Skills

  • Proficiency in Excel (or other similar programs like Airtable)
  • Experience mass email platforms like Action Network a bonus
  • Familiarity with Quickbooks and basic bookkeeping (running reports, tracking expenses, etc.)

Preferred Skills

  • Proficiency in CRMs like Salesforce or other similar platforms
  • Familiarity with Quickbooks, Stripe, Melio and other payment platforms
  • Experience with the Military and/or Veteran community
  • Proficiency with grant writing and resource development 

Responsibilities

Financial Administration (50%)

  • Oversee and liaise with external bookkeeper to provide necessary financial documents on at least quarterly basis, including: receipts, invoices, bank statements, etc.; review finances with bookkeeper to ensure accuracy in reporting, bill pay, and categorizing income/expenses; share financial reports prepared by bookkeeper with BOD (quarterly) and membership (annually or as requested)
  • Oversee and track with bookkeeper expenses via bank account (and Quickbooks), debit cards, credit cards; liaise with fellow staff or bookkeeper to provide reimbursements to staff and members as needed
  • Prepare receivables and provide documentation to accounting firm (contracts, receipts, etc) 
  • Coordinate and track payments through our Mutual Aid work/ Community Care fund 
  • Help identify and implement best practices and protocols for procurement and vendor/consultant management
  • Ensure the continued financial viability of AFVAW operations through sound fiscal management, implementation, and controls
  • Co-create annual budget with Co-Directors
  • Work with hired accountants to complete and file annual 990, financial review, and state charitable registration forms

Fundraising (25%)

  • manage organizational donor stewardship programs, donor tracking systems, and insure continued communications with donors.
  • produce  quarterly direct mail letters, create related mailing lists, and liaise with print and mailhouse; draft and manage additional acquisition mailings as decided by executive team
  • develop monthly online fundraising appeals via Action Network 
  • Grant Identification,writing, tracking, reporting, and relationship-building with foundations and institutional funding organizations. 

Admin/Personnel (20%)

  • Oversee payroll management, including: onboarding paperwork for new staff, managing timesheets for part-time staff, and running bi-weekly payroll (with healthcare reimbursements as needed)
  • Work with payroll service (Paychex) to complete and file any required quarterly state unemployment tax/other necessary reports
  • Work with bookkeeper to file annual consultant 1099s  
  • Collaborate with Co-Directors to maintain policies/complete audits on an annual (e.g. workers compensation, BOD liability) or as-needed (event) basis

Support of Other Staff (5%)

  • Support Organizing staff with event logistics as needed, including: booking venues, coordinating member travel and related stipends, ensuring food/childcare/and other access needs are met
  • Additional tasks as necessary
